Terms and conditions of stay

GENERAL BOOKING, CANCELLATION TERMS AND HOUSE RULES OF THE FOLKS HOTEL KONEPAJA (FOLKS HOTELS OY)
(hereinafter referred to as “the hotel” or “The Folks Hotel Konepaja”)

These terms apply to accommodation bookings made by individual guests unless otherwise agreed. They also apply to online bookings made via the hotel’s official website.

1. BOOKING AND CONFIRMATION

When making a booking, you must provide your name, residential address, email address, phone number, arrival and departure times, and payment method. The booking becomes binding for the hotel once it has been confirmed verbally, in writing, or for example via email, and once you have received a confirmation number. The hotel may require various conditions for the booking to be valid, such as a deposit or confirmation by credit card. Should VAT or other taxes change, the hotel reserves the right to adjust room rates accordingly.

2. CHECK-IN AND CHECK-OUT

Rooms are available from 3:00 PM on the day of arrival and must be vacated by 12:00 noon on the day of departure. Different check-in/check-out times may apply in some cases. For security reasons, only registered guests and hotel staff are allowed in guest rooms and other reserved areas. The maximum number of persons per room or space may not be exceeded.

3. GUARANTEEING A RESERVATION

All bookings must be guaranteed with a credit card at the time of confirmation*. Credit card details must be provided through a secure link sent via email, or with a company guarantee if the booking is made by an invoicing-approved company. We do not accept credit card information by phone or direct email. Invoicing clients may alternatively guarantee a booking in the name of the company. As an alternative to a credit card or company guarantee, the hotel may require a partial or full prepayment to confirm the reservation. Prepayment terms are always agreed upon in writing in advance.

*The Folks Hotel Konepaja reserves the right to pre-authorize the credit card for the agreed amount if necessary.

4. CANCELLATION AND NO-SHOW

Cancellations are free of charge until 4:00 PM on the day before arrival. After this time, the hotel will charge the full rate for the first night including taxes and any additional services booked.

5. EARLY DEPARTURE

If you leave the hotel earlier than agreed, you must notify the hotel by 4:00 PM on the day before departure. If the reservation is for multiple nights, you may still be charged for the unused nights. Early departure may also affect the total accommodation price.

6. PAYMENT

The hotel accepts most major payment cards. However, the hotel is not obligated to accept any cards that it has not pre-approved. If the room has not been prepaid, payment must be made upon check-in. Please note that The Folks Hotel Konepaja does not accept cash payments.

The hotel also reserves the right to charge your credit card after departure for any unpaid purchases or damages caused during your stay.

7. GUEST CONDUCT

Guests are expected to behave in accordance with good manners and house rules. If you violate these rules, the hotel may remove you from the premises immediately. You are still required to pay for your stay and any additional services, and you are not entitled to a refund.

For safety reasons, only registered guests are allowed in guest rooms and reserved areas. The maximum occupancy of rooms and spaces must not be exceeded.

8. LIABILITY FOR GUEST BELONGINGS

You may store valuables in the room’s safe, or request the hotel to store them. If the item is of exceptional value, you must inform the hotel before depositing it. The hotel has the right to refuse storage of such items.

You are responsible for your own belongings unless the hotel has accepted them for safekeeping. If the hotel does not assume responsibility for stored luggage, it will inform you separately. The hotel is not liable for items kept in the room’s safe or for unattended belongings in public areas such as the lobby or breakfast area.

The hotel is not responsible for damage to or theft of vehicles or property within them on the hotel’s premises.

9. GUEST’S LIABILITY FOR DAMAGES

As a guest, you are liable for any damages caused intentionally or through negligence by you, your guests, or your pets to hotel property, furnishings, equipment, other guests, or their property. Liability is determined based on the costs incurred by the damage (e.g., smoking in the room).

10. MINORS

Room bookings can only be made by persons aged 18 or over. The person booking a room for a minor is responsible for the minor regardless of whether they are staying with the minor. Unaccompanied minors must provide a signed parental consent form, sent in advance by the hotel, including the minor’s name, date of birth, and dates of stay. The guardian’s name and phone number must also be provided.

Children under 4 years old may stay in a crib free of charge in Solo, Family, Superior, Corner, Boutique, Loft, and Atelier room categories (subject to availability; please inform us in advance). The hotel also offers connecting rooms with an internal door.

11. PETS

Pets are welcome in select Solo, Duo, Family, Superior, Corner, Boutique, and Loft category rooms. A fee of €20 per pet per night applies.

As the number of pet-friendly rooms is limited, please always inform us in advance at the time of booking—either in the additional information field or by contacting the hotel directly via phone or email.

The registered guest is responsible for the pet’s wellbeing as well as any damages or disturbances caused by the pet.

12. SMOKING

Smoking is strictly prohibited in all indoor areas of the hotel. Smoking is only permitted in designated outdoor smoking areas. Guests who smoke indoors will be held responsible for any cleaning and restoration costs incurred. A minimum fee of €150 will be charged for violations of this policy.

13. RIGHT TO CANCEL A RESERVATION

The Folks Hotel Konepaja reserves the right to cancel a reservation in the case of force majeure or any reason beyond its control (e.g., fire or water damage, official orders). In such cases, the guest is entitled to a full refund of any payments made.
